Prime Contractors / Project Coordinators
One of our large user groups are "Prime Contractors / Project Coordinators". This type of user often belongs to an temporary organization with a significant number of participants spread both geographically and organizationally. The organization's purpose is to run a particular project for a limited time.
Many projects may experience that handling, sharing and storing documents by email can cause severe problems with access to information as well as having different versions of the same document in circulation. Email is also often used to book and schedule meetings and workshops. ProjectCoordinatorŽ provides a well-equipped document management system with version handling allowing access to the correct/updated information. Participants can share a common document archive and quickly create a knowledge bank for the workgroup/project and work according to a common project plan. You can access the same meeting calendar and share project news, developments and results.
Project Coordinators are nowadays often working across multiple projects. A result of this is that gathering and sharing of information can become quite a time consuming challenge with multiple projects and project participants, principals, financiers and other parties with an interest in the projects. The Coordinator has to, on top of all this, coordinate and monitor project performance for all projects. ProjectCoordinatorŽ provide a management steering room (the "Lobby") enabling easy coordination of multiple projects/organizations and the possibility to get performance snapshots from each project. From the Lobby it is possible to enter the various project rooms which each holds the information and documents for the coordinated projects.
Project members and participants can be travelling a lot, be geographically and organizationally spread out or simply temporarily work elsewhere. Providing them all with easy access to the project and its documents and information is not always an easy task. ProjectCoordinatorŽ is a web-based tool that can be used on any computer with internet access and a web browser.
Sometimes there's a requirement for public project information. Regardless of who it is directed to, the public or financiers and principals, setting up an external web site adding it to the project work costs both time and money. ProjectCoordinatorŽ provides the web site, making it unnecessary to set up a dedicated web server. The built-in web editor makes it easy to create and manage the pages of a project web site. It is possible to publish internal documents on the public web pages eliminating the need to keep duplicate information on a separate web server.
Before launching the project it can take a lot of time and work to reach an agreement about client software. It also takes time to educate and train the participants and work package leaders in the use of the client software complicating the desired quick and smooth project start. ProjectCoordinatorŽ has no client software to install and it has an easy to use interface. Education of the regular users is usually not necessary and the training of administrators and WP Leaders can successfully be a short training session by telephone reducing the time and need of expensive travelling.
Other matters of common interest regardless of who you are and what kind of project you work with are project security and project management. Many projects need securely stored documentation and information as well as control over the access rights to certain project documentation.
Project management with planning, scheduling and following up the project's work, results and budget, are tasks that many Coordinators need to delegate. Project CoordinatorŽ stores documents, information, usernames and passwords encrypted and the portal administrator can easily set the access rights of every project member. A WP Leader/Project Manager has the capability to manage the co-workers´ input and participation in different project phases/activities. He/she can share information, monitor and give feed-back on the progress of the project and manage temporary participation of third-parties. The WP Leader/Project Manager can also give public exposition to the achieved results, plan project phases and activities with a detailed time planning and has the possibility to generate reports on activities, phases, resources, contacts and all other parts in the project planning.
