My Time Reporting

You are here

To be able to report time on a specific project you must be a member of the room and Responsible or defined as a resource for the actual project activity. 

NOTE: If an activity is completed, and set to 100% in the Activity Planner you can not report any more time on that activity.

In My time report you can add, modify, delete registered time and generate time reports. You can access this function by choosing My time reporting under My functions .

Day

In the Day tab you can specify new time activities and report time on projects for the selected day.

  • Add reported time
  1. Choose date, select the actual date, (the day you want to register your time) either by:
  • Push the calendar button and select the actual year, month and day from the calendar.
  • Use the arrow buttons to step one day forward or backward from the displayed date.
  1. Use the drop down menu to select the Project, (the project room where you want to register your time on).
    NOTE: For a Project to show up in the drop-down menu you have to be a member of the room and Responsible, or defined as a resource for the actual project activity.
  1. Use the drop down box to select the Activity, (the activity you want to register your time on).
    NOTE: To be able to report time on a specific activity you must be Responsible, or defined as a resource for the actual project activity. NOTE: You also got the possibility to add this activity to your favorites with the button Add to favorites. This activity will always show up in the Week and Month views to ease up your time reporting. You can add several activities to favorites.
  2. Specify the Duration.
  • Select hours from the first drop down menu.
  • Select minutes from the second drop down menu, (in step of 30 minutes).

NOTE: Minutes must be defined in step of 30 minutes, (i.e. 2 hours and 30 minutes shall be written as 2.5 if you want to edit the time entry afterwards).

      5.  Comments, you can add a comment to the reported activity.

  1. Select Type of time from the drop down menu.
  • Regular Predefined Time type, select this type to report normal time
  • Overtime Predefined Time type, select this type to report overtime
  • After that, all the Time types especially defined for the portal are listed, if there are any added.

  1. When you're finished, click the button Add.
  • Edit reported time

  1. Edit time

Select the date and time activity in Registered Time grid, (select the grid cell date and time activity), and edit hour and minutes.
NOTE: Minutes must be defined in step of 30 minutes, (i.e. 2 hours and 30 minutes shall be written as 2.5).

  1. Edit comment

Select the date and comment in Registered Time grid, (select the grid cell date and comment), and edit the comment.

  • Delete reported time
  1. Choose date, select the actual date, (the day you want to delete your reported time) either by:
  • Push the calendar button and select the actual year, month and day from the calendar.
  • Use the arrow buttons to step one day forward or backward from the displayed date.
  1. Select the date and time activity in Registered Time grid, (select the grid cell date and time activity), and set hour and minutes to 0. Or click the button Delete  in the column Delete.

 

Week

In the Week tab you get an overview of the reported time for the selected week, you can also report and modify time in the Registered Time grid.

  1. Use the drop down menu to select the Year.
  1. Select the actual Week, (the week you want to review or register your time).
  • Use the drop down menu to select the actual week.
  • Use the arrow buttons to step one week forward or backward from the displayed week.
  1. Edit reported time
  • Add or modify time

To specify the Duration, select the day and time activity in Registered Time grid, (select the grid cell day and time activity,) and fill in hour and minutes.

  • Delete time

Select the date and time activity in Registered Time grid, (select the grid cell date and time activity), and set hour and minutes to 0.

You can also use the button Clear  to the left, beside the name of the Project. Then you can erase all time entries for the whole week in one click.

The listed time activities, (Project, Task and Type) specified in Register Time grid are based on the used time activities in the previous weeks.

 

Month

In the Month tab you get an overview of the reported time for the selected month, you can also report and modify time in the Registered Time grid.

  1. Use the drop down menu to select the Year.
  1. Select the actual Month, (the month you want to review or register your time).
  • Use the drop down menu to select the actual month.
  • Use the arrow buttons to step one month forward or backward from the displayed month.
  1. Edit reported time
  • Modify time

To specify the Duration, select the day and time activity in Registered Time grid, (select the grid cell day and time activity) and fill in hour and minutes.

  • Delete time

Select the date and time activity in Registered Time grid, (select the grid cell date and time activity), and set hour and minutes to 0.

Favorites

In the Favorites tab you can see your added activities. You can also add more or delete activities just by mark the checkbox to the right.

Time reports to submit

In the Time reports to submit tab you can choose if you want to close a time report and send it in to the Portal admin.

  1. Click on the button Submit for the report you want to submit and send in.
  2. Answer Yes if you want to submit the report. Now your time report for the period are submitted.

NOTE: After submitting a time report you cannot report any more time on that period. The report is now closed. Though the Portal admin can reopen and send back the report.
