My Messages

My messages shows information about all messages you have sent and have received. Here you also can see if the receiver has read your message. Green color means that everybody has read, yellow color means that some have read it, and red color means that nobody has read the message yet.

  • Send email from My messages

With the built-in email function in the portal you can send email to users in the portal as well as to external recipients. If you send email from the portal, it is possible to open that email later if you click on it in the Event log in the Briefingboard for that room. To send email, do as follows:

1. Choose My messages  under My functions  .
2. Click on the button Send email/message  in the toolbar and choose Send as Email.
3. Fill in the field To, either by manually writing the email address of external recipient or by choosing users from the portal by clicking Recipient. Click on the names you want to send to, and then click Add.
4. If you want to send a copy to someone, fill in the field Copy, either by manually writing the email address of external recipient or by choosing users from the rooms by clicking Copy. Click on the names you want to send to, and then click Add.
5. If you want to send a blind copy to someone, fill in the field Bcc, either by manually writing the email address of external recipient or by choosing users from the room by clicking Bcc. Click on the names you want to send to, and then click Add.
6. Fill in subject in the field Subject.
7. Write the message in the field Message.
8. You can also attach a link to a file stored in the room if you wish.
When you attach a link, you click on the button Attach link and a tree structure with Document and Images is opened. Navigate until you find the file you are looking for, and then click on it. A link to the chosen file is now attached to your email.
9. If you want a copy of the email yourself, mark the checkbox Copy to sender.
10. If you want to add your personal contact information to you email, you mark the checkbox Add my contact information.
11. Click on Send to send the email.
 

  • Send messages from My messages

To send messages from My messages, do like this:

1. Choose My messages  under My functions  .
2. Click on the button Send email/messages  in the toolbar.
3. Choose Send as message at the top of the window.
4. Fill in the field To, either by manually writing the email address of external recipient or by choosing users from the portal by clicking Recipient. Click on the names you want to send to, and then click Add.
5. Fill in subject in the field Subject.
6. Write the message in the field Message.
7. You can also attach a link to a file stored in the room if you wish.
When you attach a link, you click on the button Attach link and a tree structure with Document and Images is opened. Navigate until you find the file you are looking for, and then click on it. A link to the chosen file is now attached to your email.
8. Select which project the message concerns.
9. If you want the receiver to get information about the message also by email, mark the checkbox Send information about message by email.
10. Click on the button Send when you are done.
