Introduction to Library

Library is a function that makes it possible to classify documents, both stored in the portal's archive as well as at external sources, using meta-tags, which allows them to be searchable by author, title, publishing year, subject, keywords etc. The function Library is opened by choosing Library under Document Management . It's only the person/persons who has the role Publication manager that can Add/Edit/Delete publications. All users in the portal or the room can however read the publications that are added.

  • Create a new publication

    1. Choose Library under Document Management.
    2. Click on the button Library .
    3. Enter the title of the publication in the field Title.
    4. Choose author by clicking on the button Choose behind the field Author. In the window that opens you can either choose author by clicking on the desired name in the list Available users and then on the button Add, or you can choose an external author by entering the name in the field External author and then click on the button Add. Note that you can choose more than one author for a publication. Click on Ok when the list Selected authors is as desired.
    5. Enter a summary in the field Abstract and choose apublishing year in the field Publishing year.
    6. Choose publication type in the field Publication type. Read more about how to create new publication types under Categories.
    7. Choose subject by clicking on the button Choose behind the field Subject. Mark the desired subject in the list Available subjects and click on the arrows between the lists. Note that you can choose several subjects for a publication. Read more about how to create new subjects under Categories. Click on Ok when the content of the list Selected subjects is as desired.
    8. You can also enter keywords for your publications in the field Keywords. Separate them with comma ",".
    9. In the field URL you an enter the path to the publication. You can also choose a document or a page by clicking in the field to the right in the window. The address is then automatically entered in the field URL.
    10. When you're finished, click on the button Save and your publication is added to the list of publications.
  • Edit a publication

    You can also change the name or the properties of your document. This can be done in two ways:

    Alternative 1

    1. Choose Library under Document Management.
    2. Click in the box behind the publication you want to edit.
    3. Click on the button Edit .
    4. Now you can update the information for the publication in the same way as for Create a new publication. When you're finished, click on the button Update to save the changes.

    Alternative 2

    1. Choose Library under Document Management.
    2. Click in the list on the name of the publication you want to edit.
    3. Click on the button Edit.
    4. Now you can update the information for the publication in the same way as for Create a new publication. When you're finished, click on the button Update to save the changes.
  • Delete a publication

    1. Choose Library under Document Management.
    2. Click in the box behind the publication you want to delete.
    3. Click on the button Delete , and the publication is removed.

     

Categories

In Categories you can choose to Add, Edit and Delete publication types, publication subjects and news types. It is however only users that has the role Administrator in the Lobby that can work with Categories, i.e. this function is not accessible from inside a room. Categories is started by choosing Categories under Administration .

  • Add categories

    1. Choose Categories under Administration .
    2. Choose category (Publication types, Publication subjects or News types) in the drop-down menu Category type.
    3. Click on the button Add.
    4. Enter the name of the new type/subject in the field Type name/Subject name.
    5. Click on the button Add to save the new type/subject.
  • Edit categories

    1. Choose Categories under Administration .
    2. Choose category (Publication types or Publication subjects) in the drop-down menu Category type.
    3. Mark the  type/subject that you want to edit the name of in the list.
    4. Click on the button Edit.
    5. Enter the new name of the type/subject in the field Type name/Subject name.
    6. Click on the button Edit to save the new name of the type/subject.
  • Delete categories

    1. Choose Categories under Administration .
    2. Choose category (Publication types or Publication subjects) in the drop-down menu Category type.
    3. Mark the  type/subject that you want to remove in the list.
    4. Click on the button Delete and then OK.
